A repository too deep to search.

The Process Repository is a centralised enterprise knowledge platform built to accelerate digital transformation through reusable industry assets — process documentation, solution blueprints, implementation guides, pre-configured scenarios, templates, and accelerators. As the repository expanded across industries, users found it increasingly difficult to locate relevant assets, held back by deep hierarchical navigation and a complete absence of search.

What this project set out to solve.

How might we help users quickly locate enterprise assets without
forcing them to navigate through multiple hierarchical levels?

Despite housing thousands of assets, the repository offered only one way in to view artifacts. A deeply nested hierarchy of industries, solutions, process groups, folders, and documents. A single document meant walking this path from the top, every time.

As a UX Designer on this project, I drove the Search & Filter enhancement from research and problem framing through interaction design and stakeholder validation - working alongside a Product Owner, Business Analysts, a UX Designer Lead, Developers, QA, and SMEs.

Proposed Solution

Replacing folders with a keyword-driven system.

The redesigned experience swaps folder-based exploration for intelligent, keyword-driven discovery — letting users jump straight to the right asset without touching the underlying hierarchy.

A centralised search bar that finds repository content instantly across every industry, solution, and process node.

Users narrow results across Industry, Solution, Business Function, Process Area, Asset Type, Documentation Type, and Lifecycle Phase - in any combination.

Direct Node Navigation

Users jump straight to the required process or document from search results, instead of manually expanding folders.

Search Suggestions

Real-time suggestions appear while typing, helping users locate asset faster and reducing query formulation time.

Contextual Results Page

Every result shows Process Name, Industry, Solution, Document Type, Repository Path, and Related Assets - full context before opening anything.

Breadcrumb Navigation

Users can see exactly where a result sits within the repository hierarchy,

keeping spatial orientation intact.

Empty & Zero-Result States

Helpful guidance when nothing matches, encouraging users to refine keywords or filters than abandon the search.
